Pricing & Plans
How much does DealerCRM cost?expand_more
Standard list pricing is around $3,000/month per rooftop. Our early-adopter rate is dramatically lower — and locked for the length of your term — with no setup fees. Pricing is per rooftop with unlimited users, not per seat. The only line-item add-ons are DMS integration pass-throughs (for example Authenticom on Frazer is ~$150/mo, Motility ~$200/mo, CDK full push/pull is ~$500/mo).
Do I pay per user?expand_more
No. Pricing is per rooftop with unlimited users — salespeople, F&I, service, managers, owners, anyone you want in the tool. Add a second store and that's another rooftop, not per-seat.
How long is the contract?expand_more
Your call. Month-to-month, 12 months, or 24 months — longer terms protect your rate as we move to retail pricing later. We've taken commitments as long as 10 years from one dealer. After your term, you roll to month-to-month at your discretion.
Is there a setup fee?expand_more
No setup fees on the early-adopter plan. The only recurring add-ons are DMS pass-through costs where applicable, and optional tracking phone numbers for ad-source measurement (~$50/line setup).
Are you going to raise our price once we're locked in?expand_more
No. Pricing stays fixed for the length of the term you sign. As volume grows we expect pricing to stay aggressive — we want long-term customers, not short-term revenue.
Can we do a 3-month trial inside a 12-month agreement?expand_more
Yes — we can build creative parachute terms so you have an exit option after a short test period if it isn't working out.
How are we billed?expand_more
In advance. You're invoiced when you sign — that covers month one, and we begin building your instance immediately. After go-live you're billed a month ahead each cycle.
What's included in the base price versus an add-on?expand_more
Included: the full platform — OliviaAI across every channel, telephony, texting, email, video, eBrochures, reputation management, AutoPencil desking, dashboards, mobile app, and unlimited users. Add-ons: per-rooftop DMS integration pass-through fees, optional on-site training travel, and mass-campaign calling (calling 1,000 customers in one push will be a separate package).
How does that compare to what we pay today?expand_more
DealerCRM is the best value the market has ever seen. Our closest automotive competitor is around $5,900/month for less capability, and most legacy CRMs sit between $2,250 and $3,000 per rooftop. On the RV side, nothing else combines a 75,000+ floorplan dataset with OliviaAI voice. You get materially more software for materially less money.

Getting Started & Onboarding
Do you have a one-page overview I can download or share?expand_more
Yes. The DealerCRM one-sheeter is a single page covering the whole platform — every channel built in natively, OliviaAI, DealerIdentify branded calling, AutoPencil desking, and how we work with OEMs. Download the one-page overview (PDF) and forward it to anyone in the decision.
How long does onboarding take?expand_more
Roughly 45–60 days from contract signing to live. We're typically booked a few weeks out, so the practical lead time today is mid-to-late summer. Onboarding is largely remote, with the option of on-site go-live week if you want it.
What does the pre-launch period look like?expand_more
We start with a process call to understand how you handle leads, customers, cadences, and lead assignment. We build your instance against your process and import your historical data — your customers, deals, owned vehicles, activities — so you're not starting from zero on day one.
How long does data migration take from our current CRM?expand_more
Hours, not weeks. We recently imported 21 million records for a 6-store group in 11 minutes. The codebase is modern and was built for fast migrations — no legacy ports, no clunky ETL. Search is actually easier on the new platform because data is normalized as it lands.
Do you come on-site for setup and training?expand_more
Optional. Travel is a straight pass-through — flights, hotel, and a small per diem. For most dealers, the new platform is intuitive enough that remote onboarding works fine; on-site is a confidence backstop, especially during peak season.
What does the go-live week look like?expand_more
Day 1: introduce the system and basic tasks. Day 2: actual use with reinforcement. Day 3: cleanup questions. Day 4: final polish. Trainers stay on calls (or on-site) for the full week. The trainer-to-trainee ratio is roughly 1:10.
Will my salespeople actually use it? Mine resist software.expand_more
We built this specifically for the resistant rep. After one login most reps adopt within two weeks — there's no chasing tasks, no clicking through screens; OliviaAI tees up the next action. The 30-year-veteran salespeople with hand-written customer books love it once they see how little they have to do.
Can we run DealerCRM in parallel with our existing CRM?expand_more
Technically yes, but in practice parallel runs struggle — sales teams reject the new tool when they can stay on the old one, and the two systems don't sync deal-state cleanly. Better results come from a clean cutover at one rooftop with management leading. If you absolutely need a soft launch, we'll work with you, but a clean switch is the path we recommend.
Should we wait until our slow season to switch CRMs?expand_more
Your call — both work. Many dealers prefer to launch in peak so reps adopt faster (money is on the line). Migration itself takes hours, training is minimal because the UI is intuitive, and automatic capture means data quality only improves from the moment you turn it on. The bigger "risk" most dealers run into is that OliviaAI generates more opportunity than they're staffed for — which is the opposite of typical CRM-switch pain.
What are the next steps after our demo?expand_more
When you're ready to move forward, our sales and support team will finalize the agreement with you and get you into the queue for setup. We'll confirm term length and start work the moment everything is signed.

OliviaAI — What She Does
What is OliviaAI?expand_more
OliviaAI is the intelligence layer embedded throughout DealerCRM — not a bolt-on. She sees every call, text, email, web chat, video, inventory signal, appointment, and deal touch in one shared memory; drafts the next message for every customer; schedules her own follow-ups; surfaces who the salesperson should contact next; and runs autonomously after-hours if you want her to. The difference is one brain across every channel: the website chat knows what happened on the phone two minutes ago, and the phone call knows what the customer texted yesterday.
Will OliviaAI replace our salespeople?expand_more
No — she removes the busywork so reps focus on selling. She asks for the appointment on every call and every text (something even ninja salespeople forget), drafts the perfect next email, logs every activity automatically, and surfaces who to contact next. Think of her as a backstop: when a rep is on the lot doing a proper walkaround, OliviaAI can cover the lead, book the appointment, and put it back on the rep's My Day page. The reps still build trust and close the deal.
Can OliviaAI mimic each salesperson's writing style?expand_more
Yes. She reads each rep's email and call history and matches their tone, length, and cadence — so the email she drafts for Monica reads differently from the one she drafts for Brett. You can also lock her to one consistent dealership voice. Reps can edit before sending or send as-is.
How configurable is OliviaAI's behavior?expand_more
Every behavior is dial-able. Tell her not to quote payments, not to discuss trades, not to talk about specific topics — she'll respect those guardrails and hand off to a human when she hits them. The setup has two layers: hard work-plan rules for the decisions your store cares about, and OliviaAI judgment everywhere else. Tone, demeanor, restricted topics, per-channel permissions, per-rooftop goals, and escalation behavior are all configurable. Our team configures it with you during onboarding; once you're certified, you can adjust directly.
Can we ease into OliviaAI instead of turning everything on day one?expand_more
Yes. You can start with OliviaAI drafting only, use her on nights and weekends, give reps a 10- or 20-minute window during business hours, A/B test lead sources, or let her take first response immediately. The best setup is usually gradual: get reps comfortable with the simple daily workflow, then increase autonomy where the store sees the lift.
Can a customer opt out of OliviaAI specifically?expand_more
Yes — one click on the customer record. OliviaAI then stops drafting or sending anything for that customer, though they still appear on the rep's My Day page. Standard SMS/email opt-outs are honored automatically on top of this.
Will OliviaAI pretend to be one of our salespeople?expand_more
No. OliviaAI can match a rep's writing style when she drafts a message for that rep, but when she is the one communicating autonomously she identifies herself as OliviaAI. That is intentional responsible automation: customers know who they are talking to, and the rep has a clean handoff if they want to jump in.
What languages does OliviaAI handle?expand_more
44 languages out of the box, across voice, text, and email. A customer texts in Spanish, OliviaAI replies in Spanish and gives your English-speaking rep the English version side by side. Same on voice and email.
Does OliviaAI self-correct over time?expand_more
Yes. She self-reflects every night on every conversation, flags where she should have answered differently, and self-corrects so the same mistake doesn't repeat. Our team reviews a daily report of every conversation as well.
Can a salesperson just ask OliviaAI who to call next?expand_more
Yes. Reps can ask "who should I reach out to right now?" or "pull customers coming up on lease-end" in plain English, and she queues them on the My Day to-do list with her reasoning attached on a "?" button next to each task.
Does OliviaAI run long-term campaigns and reactivation?expand_more
Yes — and unlike rule-builder CDPs, you just leave her on. She markets to every customer in the database when the moment is right — lease-end approaching, equity changes, loan aging, owned-vehicle changes — and you can tell her in plain English to focus on a goal ("push F-150s" or "follow best practice") and she'll execute indefinitely until you tell her to stop.
Can OliviaAI take over fully after N days of no rep response?expand_more
Yes. Tell her: "after 14 days, take over long-term follow-up." She'll email, text, and call (within FCC bounds) on a continuous cadence until you stop her or the lead converts.
What if OliviaAI queues a draft and the rep ignores it?expand_more
You configure the fallback. Drafts can auto-send if the rep doesn't act, alert a manager, or shuffle the customer to another rep. The dealer sets the protocol per workflow.
Does OliviaAI generate avatar / talking-head videos?expand_more
Not yet — and intentionally so. We spent 90 days on avatars and the lip-sync isn't believable enough; customers find it off-putting. We'll ship it the day it actually works. We can, however, generate custom OliviaAI images (drop a stock unit on a beach at golden hour, for example) and full walkaround videos today.
Is OliviaAI accurate? Is she perfect?expand_more
No, and you wouldn't want her to be — neither is a salesperson. What she is is consistent: she asks for the appointment on every interaction, summarizes every conversation, and never forgets to log an activity. Consistency is the win dealers report most often.
phone
Voice & Phone Calls
Does DealerCRM include its own phone system?expand_more
Yes. DealerCRM ships its own built-in telephony platform — every inbound and outbound call routes through us. Dealers can replace Grasshopper, Podium phones, and similar systems with our stack. You can also keep your existing modern VoIP provider; we integrate.
Can we port our existing business phone number?expand_more
Yes — porting is standard, but it is not the only path. You can port numbers to us, forward existing numbers into DealerCRM, forward DealerCRM calls back to your current extensions, or run a mix of browser calling, desk phones, soft phones, and mobile. Keep your number and the carrier change is invisible to your customers. We can ring all your phones in simultaneous, stagger-step, or any pattern you want.
Does every salesperson get their own number?expand_more
Yes — every rep gets a tracking number, and you can spin up as many additional tracking numbers as you want for ads or campaigns to measure source attribution. When a rep leaves, the number stays with the dealership.
Can a store line ring a group and still track who answered?expand_more
Yes. A main or tracking number can ring multiple reps, a department, desk phones, mobile phones, or any combination you choose. DealerCRM still knows which individual line answered, records and transcribes the call, and writes the activity back to the customer profile without the rep having to attribute it manually.
Are calls recorded and transcribed?expand_more
Every call — inbound, outbound, on hard phone, on browser, on mobile — is recorded, transcribed, and summarized by OliviaAI automatically. On a supported hard phone, the rep just picks up and dials; there is no extra click to log the call. No separate call-review subscription required. A "this call may be recorded" whisper plays at the start of every call in compliance with state law.
Can OliviaAI answer the phone for the dealership?expand_more
Yes. OliviaAI can act as your receptionist, route calls to the appropriate department or person, and pick up overflow when a human doesn't answer. For a small team, this is the single biggest lift — no more missed opportunities while your one salesperson is on the lot.
Can OliviaAI make outbound calls on a rep's behalf?expand_more
Yes. Click the OliviaAI Call button on a customer card and she dials, holds the full conversation, and the recording, transcript, and summary land back in the customer history. You can schedule her to call tomorrow at 9am to confirm a Saturday appointment, for example.
Will OliviaAI's outbound calls get flagged as spam?expand_more
No. Our outbound calls are signed and branded so the dealership name displays on caller ID. This is a major differentiator versus competitors whose outbound calls get marked as spam.
Can OliviaAI auto-create an appointment from what's said on a call?expand_more
Yes. If the customer says "I'll be there Saturday at 11 with my wife," OliviaAI hears it, schedules the appointment, and it appears on the rep's calendar by the time they're back at their desk. Same flow works for texts, emails, web chats, and video.
If a salesperson takes the call on their cell phone, can we still log it?expand_more
Yes — there's a "log call only" option for calls handled on personal cells so the data still lands in the CRM. OliviaAI can also call the rep's cell, bridge to the customer, and capture the recording that way: rep answers, she says "press 1 to connect," and the call is recorded, transcribed, translated, and logged.
If someone else picks up an inbound call meant for the assigned rep, what happens?expand_more
OliviaAI hears the call and raises a "skate alert" tying it back to the originally assigned salesperson. The new rep can keep working it; you decide ownership at the management level.
Will OliviaAI distinguish sales calls from service or parts calls?expand_more
Yes — she reads context clues from the conversation and routes the activity to the right department. All calls are captured, but they're categorized correctly so sales leads don't get muddied with service traffic, and service customers don't slip through as sales opportunities (which most CRMs miss).
Can OliviaAI handle inbound service calls when the advisor doesn't answer?expand_more
Yes. Instead of dumping to voicemail, OliviaAI picks up, takes the request, and creates a follow-up note on the manager's and the writer's My Day page. Voicemail is effectively eliminated — nobody audits it anyway.
What about calls routed through RV Trader / AutoTrader tracking numbers?expand_more
Same flow. Those calls hit your main line, we record, transcribe, and OliviaAI summarizes them — exactly like any other inbound call. The activity lives in the customer history regardless of which third-party tracking number routed it.
Do you support hard VoIP desk phones?expand_more
Yes. We're rolling out a $129 VoIP hard phone that ties directly to the CRM — pick up the receiver, dial 10 digits, and the call is logged, recorded, transcribed, and tied to the customer record. Off-the-shelf VoIP phones work too. Mobile, browser, and OliviaAI-initiated calling all work alongside.
Does every workstation need a microphone?expand_more
Only if you want to dictate. Voice input is available wherever there's a microphone icon, but you can type, click, or use the mobile app instead. On mobile, voice dictation is especially powerful.
sms
Texting & SMS
Does OliviaAI draft outbound texts?expand_more
Yes. Click the text icon on any customer card and she reads the full history, then drafts the next best message. You can accept it, edit it, change the tone or length, switch to Spanish, or override entirely. The thread renders iMessage-style for easy scanning.
Can we schedule a text to go out later?expand_more
Yes — there's a stopwatch icon next to Send. Schedule for tomorrow morning, next week, whenever fits the customer. Same flow works on email and calls. Every rep under 40 expects this and it's a first-class feature.
Will texts get logged automatically?expand_more
Yes — every inbound and outbound text is captured in the customer's timeline, OliviaAI reads it, and it feeds the relationship summary and next-best-action engine. Reps don't have to log anything manually.
How do group texts with spouses or co-buyers log?expand_more
If the numbers live on the same customer profile, the group text stays on that profile and works inbound and outbound. If the recipients are separate customer records, DealerCRM records the communication against each relevant profile so OliviaAI knows each customer received it. That keeps counts and follow-up context accurate without making the rep retype anything.
Can OliviaAI send appointment confirmations and reminders?expand_more
Yes. OliviaAI sends confirmation texts when an appointment is booked and reminder texts the day before, and can request a Google or Facebook review after the RO closes.
Is SMS compliant with US and Canadian law?expand_more
Yes. The FCC requires an opt-out notice, not opt-in. With verbal or written authority from the customer, you can text them. When a record is created with a mobile number, the system asks you whether to enable texting before sending anything. We comply with both US and Canadian opt-out language requirements, and our COO is an attorney whose previous role was FCC compliance lead.
What happens when a customer texts STOP?expand_more
OliviaAI auto-handles it — she replies to every governmental compliance trigger automatically and updates consent on the customer record. No rep action required.
Can we import our existing text-message history from Grasshopper or another tool?expand_more
If you can get the data out of the existing system — which is your legal right as the data owner — we'll get it in. Historical conversation context makes OliviaAI smarter about your customers from day one.
mail
Email
Does the platform draft outbound emails?expand_more
Yes — click Email and OliviaAI writes the next best email based on the full customer history in about three seconds. Override the tone, change length, send now or schedule, attach an eBrochure, contact card, or PDF. She uses each customer's relationship summary, vehicles of interest, owned vehicles, and history to write per-customer, not batch templates.
Do you have a built-in inbox like Gmail?expand_more
Yes. We built our own Gmail-style inbox for reps who prefer working from a mail interface. Everything still saves to the customer timeline; OliviaAI still drafts replies. No workflow shock for email-first reps.
Will the system manage after-hours lead responses?expand_more
Yes — OliviaAI engages overnight leads with a real back-and-forth conversation instead of a templated auto-reply. The customer often has an appointment booked before your team arrives the next morning.
What can we attach to outbound emails?expand_more
Whatever you can imagine — OliviaAI generates the body, you attach PDFs, embed an eBrochure, a credit app, a vCard, images, or stream up to a 100 GB video that delivers to an iPhone in seconds via our CDN.
Can we run monthly incentive email campaigns with custom banners?expand_more
Yes — and more flexibly than a traditional criteria-builder. Tell OliviaAI in the Marketing tab what you want to accomplish (audience + message + cadence) and she builds and runs the campaign. No if-this-then-that ladder.
person
Customer Profiles & CRM
What does a salesperson see on a customer card?expand_more
One screen: the OliviaAI-drafted next message, a 5–6 sentence relationship summary, vehicles of interest, wishlist matches from inventory, full deal history from your DMS, service history, owned vehicles, confidential documents, per-store points of contact, and next scheduled follow-up. A rep gets a full read in under 30 seconds.
How fast can I add a customer?expand_more
Just type the phone number — we hit the mobile carrier and populate name and address correctly about 80–85% of the time. You can also scan a driver's license inside the controlled DealerCRM desktop or mobile app. Address auto-suggests via Google when manually keyed.
How does driver's-license capture work?expand_more
Hold the license up to a camera or upload an image inside DealerCRM. OliviaAI detects that it's a license, reads the front (not the barcode), and files it into the confidential-documents area gated by permissions. Salespeople only see a fuzzy version; full files require the right role. The point is to keep licenses, pay stubs, W-2s, and similar files out of personal phones, email attachments, and the visible conversation thread.
What is the relationship summary and how is it different from scrolling history?expand_more
It's an OliviaAI-written narrative of where the customer stands right now — next scheduled follow-up, what they want, why they're stalled. 90% of the time the rep doesn't need to open any history at all. Updated every time anything changes.
How do I find a customer I just met without knowing their full name?expand_more
Search any string — phone, partial name, anything. Type "Joey" and you'll get every Joseph, Joey, and Joe sorted by most recent. Reps can search "person I added yesterday named Ben" and get an exact hit. Data is stored in vectors instead of rigid tables, so fragment search just works.
How do you prevent duplicate customer records?expand_more
Every entry point (DMS, in-tool add, mobile, inbound lead) is normalized, but DealerCRM is conservative about merging. Shared mobile numbers and exact email matches are strong signals; common names, suffixes, nicknames, shared business numbers, addresses, inventory interest, source, and conversation context are weighed together before records are linked. We would rather be careful than merge two different John Smiths and send the wrong follow-up.
How do vehicles of interest stay current?expand_more
Automatically. OliviaAI extracts intent from every conversation — phone, text, email, web chat. If the customer started on one stock number but mentioned "any bunkhouse fifth wheel under 50k," she captures both the specific VOI and the broader wishlist and matches inventory against both.
Can we keep a wishlist of what a customer is hunting for?expand_more
Yes. Open the customer's Vehicle of Interest panel, type the wish in plain English ("bunkhouse 5th wheel under 49K pre-owned"), and the salesperson is notified the moment a matching unit hits inventory. OliviaAI also runs the match across all customers — including service-drive trade-ins.
How does the My Day page keep salespeople focused?expand_more
My Day shows three things: today's appointments, the calendar, and the to-do list. The to-do list is prioritized by OliviaAI, and every task has a "?" button explaining why it's there. Three sources feed it: cadences you've defined, manual tasks from managers, and OliviaAI's own next-best-action picks — the OliviaAI tasks are where most of the lift comes from.
How are owned vehicles tracked for equity mining?expand_more
Owned vehicles populate from sales, service ROs, and proposed trades (even ones you didn't take). OliviaAI values them back-into-market using 5.9M live retail listings in your region — not book values. Equity opportunities surface in real time on My Day.
How are points of contact tracked across sales, service, and parts?expand_more
Multiple POCs per customer per store — sales, service, F&I — assigned by OliviaAI based on activity or set manually. The old "point person" model didn't reflect reality; multiple people work the same customer at different stages. When an employee leaves, OliviaAI surfaces orphaned POCs on the manager's My Day page so leads get redistributed instead of dropped.
How does deal history populate?expand_more
From your DMS where we have an integration, plus anything sold through DealerCRM is native. On import we run a one-time historical extraction so your past sales appear from day one.
inventory_2
Inventory
Where does inventory come from?expand_more
Primarily your website feed plus DMS pulls where the DMS supports it. If a DMS is difficult, we can often use the same feed your website receives, triggered emails, available exports, or other dealer-approved pushes to keep availability current. We supplement every unit with full manufacturer specs from our proprietary database — weights, tank sizes, dimensions, features — so OliviaAI can speak to any unit in detail without you typing anything.
Can we manually edit or add inventory inside the CRM?expand_more
Yes — add, edit, mark sold, delete, or upload images directly. You're not locked into the website feed. Consignment units can also live in your inventory list so OliviaAI can market them.
Does the dealer still control their website and pricing tools?expand_more
Yes. Keep your website and tools like vAuto, MMR, KBB, or JD Power book workflows where you need them for bank or appraisal policy. DealerCRM consumes the inventory feed and adds market-based pricing comparisons on top. We are very good at surfacing what a unit is worth in the real retail market; that is not the same thing as the lender's book value.
How many photos and videos can we upload per unit?expand_more
Unlimited. We've seen units with 56+ photos. Walkaround videos can be recorded in-app, transcribed, and used in campaigns or OliviaAI-generated marketing pieces.
Does OliviaAI understand what's in our unit photos?expand_more
Yes. Every uploaded image is scraped and tagged — the system knows it's a galley, bedroom, exterior, etc. You can search globally for "kitchens in 2024 travel trailers" and pull every matching image across your library.
Does OliviaAI know specs deep enough to compare floor plans / trims?expand_more
Yes. Our catalog covers 80 makes, every vehicle sold in the US since 2006, every RV floor plan since 2008 (75,000+), plus marine, powersports, and now golf carts. On cars, window-sticker/build data gives OliviaAI exact option-package knowledge, not just a generic VIN decode. She can compare a Jay Flight 265BH to a Springdale 2620BH spec-by-spec — tank size, AC tonnage, length, sleep count — in seconds, by text, email, voice, or web chat. Includes towing-compatibility lookups ("will this truck tow my Jayco?").
Can OliviaAI compare a unit we carry to one we don't?expand_more
Yes. If both units are in your inventory, the comparison is balanced. If only one is yours, the comparison weights toward your inventory — your unit gets the favorable framing while staying truthful on specs.
How does pricing intelligence work?expand_more
Real-time analytics show each unit against regional comps with reprice recommendations, holding cost per day, aging health, and photo coverage. For used units, DealerCRM looks at regional retail prices, sale history, time on lot, your desired profit, recon assumptions, and DMS recon history where available. Recommendations are advisory — you decide whether to act, and book values still matter when your bank requires them.
Can wishlist match work even if the customer's exact stock sells?expand_more
Yes. OliviaAI extracts the underlying intent (e.g. "2024+ small SUV under $55K") from the conversation. If stock #1234 sells, the 35 other matching units stay surfaced for the customer.
Can a salesperson search inventory by spec via chat?expand_more
Yes — ask in the OliviaAI chat widget: "what do we have that's 30 feet?" and she answers from current stock. Works for any spec dimension.
route
Lead Routing & BDC
How do leads from RV Trader, AutoTrader, Facebook, and the website flow in?expand_more
Direct integration with 300+ lead sources, including RV Trader, AutoTrader, Facebook, and your own website. Leads arrive in real time, OliviaAI parses the data into the customer record, and routing kicks in immediately — no mail-parser middleman.
How flexible is lead routing?expand_more
Very. Route by lead source, rooftop, department, salesperson schedule, unit type, price point, manager rules, round robin, shark tank, or any custom strategy your store uses. Managers can temporarily remove a rep from rotation, and each source can have its own routing logic. Our team can configure it for you, or you can tell OliviaAI what you want and have her build the rule.
How are after-hours leads handled?expand_more
OliviaAI engages within seconds — text, email, or outbound call — on Sundays, nights, holidays, doesn't matter. She holds a full back-and-forth conversation, and the customer often has an appointment booked before your team arrives the next morning. The 78% Harvard Business School stat about first-responder wins is real; OliviaAI is that first responder when you're closed.
Can we configure when OliviaAI engages versus when reps engage?expand_more
Yes — set rules by hours, by channel, by lead source, by rep behavior, or by the credibility of the customer's reply. Examples in production: 8 or 13-minute reply windows during business hours before OliviaAI steps in, instant response on certain sources, full OliviaAI handling on others, or draft-only until a manager is comfortable. Sky's the limit on configuration.
Can DealerCRM tell when an old lead comes back to our website?expand_more
Yes, when the return happens inside your own website experience and can be connected back to a prior DealerCRM email, eBrochure, video, chat, or known browser. We do not track customers across unrelated sites. The useful part is timing: if a shopper disappeared for six months and comes back to your site, OliviaAI can surface that opportunity without a rep saying anything creepy like "I saw you browsing."
Where does a fresh internet lead alert show up for the rep?expand_more
Lands as a bucket on the rep's My Day page ("leads assigned to you") plus in-app notification, text, or whatever channel you configure per rep.
Does OliviaAI act as a virtual BDC for small dealerships?expand_more
Yes — that's exactly the win for smaller teams. Instead of adding a BDC headcount, OliviaAI handles drip follow-up, after-hours response, dormant-lead revival, and re-engages when a customer resurfaces. Works 24/7 at no extra cost.
Does OliviaAI handle equity mining?expand_more
Yes. OliviaAI targets customers based on equity, end-of-lease, and other signals. In the US valuation confidence is ~95%+; in Canada it's currently ~80% — we surface the recommendation but suggest a human verify before quoting.
Can we identify service customers who are sales opportunities?expand_more
Yes — service customers are matched against equity and lifecycle triggers. OliviaAI flags likely cross-sells on the My Day list and can alert when a high-value customer walks into the building. This is one of the highest-ROI features for groups with strong service traffic.
Can OliviaAI re-engage customers we sold years ago?expand_more
Yes. Point her at customers sold 3 or 4 years ago and let her run a nurture cadence in the background — a "kinder, gentler check-in" style — while the rep focuses on live deals.
Does OliviaAI know to stop following up when a deal is dead?expand_more
Yes — once a lead is closed/lost or sold, she pulls them out of the active follow-up queue. Legacy CRMs were notoriously poor at this; OliviaAI handles it cleanly.
Can we build a live BDC command center?expand_more
Yes — built in. Leads move new → assigned → attempted → qualified → appt set → confirmed → sold in real time, with call/text/email/disposition actions from inside the panel. If you want a custom variant, OliviaAI can build it in about 4 minutes via the dashboard tool.

eBrochures & Digital Retail
Can we send eBrochures from inside an email or text thread?expand_more
Yes — single-click drop-in from the customer thread. 60–70 templates available, or use a branded dealership template. eBrochures embed a chat widget that's also OliviaAI.
Does the OliviaAI chat travel with the brochure?expand_more
Yes. If a customer is reviewing a Ford Bronco brochure and has a question, OliviaAI is right there in the brochure to answer — and every conversation flows back into the CRM.
Can a chat conversation actually set an appointment?expand_more
Yes. OliviaAI will set the appointment on the calendar of whichever rep that channel is assigned to. No second chat tool required.
Does OliviaAI handle service questions in chat too?expand_more
Yes. The chat handles both sales and service, and is smart enough to detect when a service customer is actually a buying opportunity — something traditional CRMs miss. She infers pre-sales vs post-sale vs pre-delivery vs post-delivery vs service intent from the conversation.
Can we send digital credit applications?expand_more
Yes — built into the customer card. Click the button and the customer receives a digital credit app via text or email. Sensitive fields are entered through the controlled DealerCRM flow, not emailed around, and credit apps live in the confidential-documents area. When data is pushed to a DMS, we do not push Social Security or driver's-license numbers unless a compliant integration specifically supports that flow.
Can we request trade-in photos, VIN, and miles by link?expand_more
Yes. From an email, text, or customer card, send a secure trade-in link and the customer can submit pictures, VIN, mileage, and the details your appraisal process needs. The response lands directly in DealerCRM so the trade data can feed the customer profile, appraisal workflow, and OliviaAI follow-up.
Can we email or text deal documents for signature?expand_more
Yes — every form in AutoPencil is dynamic and can be sent for digital signature by text or email, or printed in store.
Can we record and send walkaround videos?expand_more
Yes — record in the app or upload from your phone. Tap the camera icon in the file gallery on mobile, shoot the video, and OliviaAI drafts the email around it. Every video is transcribed and summarized so OliviaAI knows what was said and can reference it later. We support files up to 100GB streamed at the right resolution to the recipient's device.
Do video sends track views?expand_more
You choose the trade-off. A tracked video link gives you open and playback metrics. A native in-thread video can feel more like iMessage or TikTok and usually gets more plays, but it cannot report the same detailed watch-time analytics because the customer did not stream through the tracked player.
Can we do live video chat with a customer?expand_more
Yes — FaceTime-style, right in the CRM. The session is recorded, transcribed, and summarized like any phone call, and lives in the customer history.
Does the website experience ever become conversational?expand_more
That's the roadmap — a dealer-website experience where the customer talks to OliviaAI about what they want and the site surfaces it, instead of clicking through endless filters. Our own Dealer Site product launches at the end of this year.

AutoPencil & Desking
Can deals be desked inside DealerCRM?expand_more
Yes — full AutoPencil with dynamic fields. Change any number and the change cascades through the entire deal. Roll on payment, rate, term, or down by clicking the field. Save multiple pencils per customer; OliviaAI remembers walked deals as opportunities, not lost sales.
Does AutoPencil support multiple collateral items on one deal?expand_more
Yes — boat + motor + trailer, RV + toad, two bikes + a trailer. Multi-unit deals work natively on a single buyer's order.
Can AutoPencil handle split deals?expand_more
Yes. Split credit can be assigned across multiple salespeople on the same deal, including larger team splits when your store process calls for it.
Will desking calcs match the DMS to the penny?expand_more
Yes. Pre-launch we ran 1,200+ deals from 19 dealers through the system penny-on-penny against the DMS. We'll do the same with your historical deals before you go live.
How are program rates, residuals, and incentives loaded?expand_more
JD Power feeds rates and residuals (1–2 day lag for monthly updates). Captive lender programs are included. Independents like a local credit union can be uploaded by your support contact or by you directly in admin — in seconds.
Can multiple people work the same deal at once?expand_more
Yes. Pencil pages are live — five or ten people on the same deal see number changes propagate iMessage-style in real time. Never out of sync.
Can the customer counter our pencil back by text or email?expand_more
Yes — OfferMagic ships before mid-June. Send the customer a link, they counter from their phone, you respond, all back-and-forth captured in the timeline. Payment-targeted roll suggestions surface automatically. Digital signature and IP-restriction supported.
Will deals push back to the DMS?expand_more
Where the DMS allows pushback, yes. CDK supports full push/pull. Lightspeed supports customer and vehicle-of-interest push today, but not every final deal field. IDS and some RV DMSes are more restrictive, so we use approved feeds, triggered emails, exports, or other dealer-controlled workflows when direct pushback is not available. The advantage of desking in DealerCRM is OliviaAI sees every offer — including the ones you walked from — so she can follow up smartly even if F&I re-keys the final deal once.
analytics
Reporting & Dashboards
What reports are included out of the box?expand_more
Lead closing, leaderboards, response-time metrics, sales-rep performance, lead-source performance, a live BDC Lead Command Center, inventory aging, website analytics, a desk log across all stores, and an RV / Auto Market Intelligence dashboard tracking listings nationwide.
Can we build our own dashboards?expand_more
Yes — scroll to "Create New Dashboard," describe what you want to measure in plain English (or upload a spreadsheet, even a napkin sketch), and OliviaAI builds it. Voice input works here too. Pin it to your nav and delete the defaults you don't use.
Do I have to dig through dashboards to see how my team performed yesterday?expand_more
No. Ask an OliviaAI chat agent — "tell me how Brian did yesterday" or "how many calls did the team make" — and get the answer in seconds instead of clicking through 50 call recordings. She can also email or text you a daily performance digest.
Is dashboard data live?expand_more
Yes — every page in DealerCRM is live. Leave it on a wall monitor and it updates in real time as calls, texts, and deals happen.
Is there market intelligence for used inventory?expand_more
Yes — the RV / Auto Market dashboard shows every listing across major sites nationwide — pricing distributions, year breakdowns, type mix, and per-listing drill-down. Useful for acquisition pricing and trade appraisals.
Do reports interpret data or just show it raw?expand_more
Raw. If 50 leads came in and you sold 5 cars, there's only one interpretation. Reporting is no longer subject to multi-source spin.
integration_instructions
Integrations & DMS
Will DealerCRM replace my DMS?expand_more
No — we're an OliviaAI-powered CRM, not a DMS. We sell units; your DMS counts the money. Your DMS handles parts inventory, RO management, accounting; DealerCRM owns the customer-facing CRM, telephony, OliviaAI, chat, video, reputation, and reporting. A DMS is on the long-term roadmap but it's a separate product.
Do you integrate with CDK?expand_more
Yes — full push/pull integration. CDK pass-through is approximately $500/month on top of the base price.
Do you integrate with Reynolds & Reynolds?expand_more
We pull every closed RO, closed deal, and inventory item from Reynolds today (pull-only). Real-time service status is still hazy on their side. We're in active renegotiation with Reynolds over their push-certification fee — we'd rather get full push enabled. F&I numbers may need to be re-keyed at deal close in Reynolds in the meantime.
Do you integrate with Motility, IDS, Lightspeed, EverLogic, Frazer?expand_more
Yes, but each DMS has different rules. Motility supports strong pull coverage for sold deals, closed ROs, inventory, and customers, but does not accept final deal pushback. Lightspeed supports full pull plus partial push such as customers and vehicles of interest. IDS is more restrictive, so current implementations lean on website feeds, triggered emails, available exports, and dealer-approved workarounds until direct IDS cooperation improves. Frazer routes through Authenticom at $150/mo pass-through.
Do you integrate with QuickBooks?expand_more
Yes — at no integration cost. For dealers who run on QuickBooks rather than a full DMS, there's no additional pass-through fee.
Do you integrate with Google Calendar?expand_more
Not today. DealerCRM has its own calendar and internal-event workflow, so most stores can run customer appointments and internal tasks inside the platform. If a Google Calendar sync is critical to your process, flag it during onboarding so we can plan around it.
Do you offer API access?expand_more
Yes, as a scoped paid integration. We do not open an unrestricted endpoint where any third-party app can flood the CRM. We map the use case, approve the data flow, and build the endpoints needed for that dealer or partner so DealerCRM knows how to react to the incoming or outgoing data.
Will DealerCRM replace Podium?expand_more
Yes. We've already converted dealers off Podium. Replacing Podium and a legacy CRM at once consolidates all communication into one system — a common path.
Will it replace Covideo?expand_more
Yes — we do everything Covideo does and more. Massive uploads (100GB+) stream at the right resolution to the customer's device, recordings get transcribed, OliviaAI summarizes the walkaround in the customer history.
Will it replace Car Wars / call-review tools?expand_more
Yes — every call is recorded, transcribed, and OliviaAI-summarized inside the customer card. No need for a separate call-monitoring vendor.
What about credit pulls (700Credit, NCC, DealerTrack Credit)?expand_more
Built-in credit app comes back updated and secured. The system supports standard credit-bureau workflows.
What about my SEO provider — does using your chat displace him?expand_more
No. SEO and chat are separate disciplines. Keep your SEO partner driving traffic. We replace the chat widget on your site with OliviaAI — same agent that handles your calls, texts, and emails, so the customer experience is consistent.
smartphone
Mobile
Is there a mobile app, and does it do everything the desktop does?expand_more
Yes. Mobile is a first-class surface, not an afterthought. Reps can call, text, email, scan a driver's license, scan or photograph a stock number for a test drive, capture trade-in photos, send video, work My Day, and use OliviaAI from the lot. It is designed with large touch targets and fast drawers because many sales workflows happen with a phone in hand.
Is voice control useful on mobile?expand_more
Especially on mobile, yes. The voice button is huge so reps can talk to OliviaAI like Siri. Tap-then-talk for any search, any compose, any dashboard query.
Can reps call from mobile without using their personal cell plan?expand_more
Yes. Calls can run through DealerCRM over the app using store Wi-Fi or cellular data, depending on coverage. The call still records, transcribes, and logs against the customer, and the dealership keeps control of the number and history.
Can we get the desk log on the app?expand_more
Anything from desktop renders on the app. Dashboards are responsive — tell OliviaAI to stack one for mobile and she does.
What's the easiest way to send a walkaround video from a salesperson's phone?expand_more
Tap the camera icon in the file gallery on your phone, shoot the video, and OliviaAI drafts the email around it. We support files up to 100GB delivered in milliseconds through our CDN (1,000 points of presence).
lock
Security, Permissions & Compliance
How secure is the platform?expand_more
We're SOC 2 compliant. We pay outside security-testing services to actively attack our system every day so we know where we stand. The architecture is hosted across redundant cloud regions and was built bulletproof from day one.
How are confidential documents (DL, SSN, W-2, credit app) handled?expand_more
OliviaAI auto-detects PII on upload or in inbound messages and routes it into an encrypted, permission-gated Confidential Files section on the customer card. Salespeople see only a fuzzy preview; full files require the right role. PII never stays in the visible thread — the law requires segregation and we handle it automatically.
Do you perform KYC or remote identity verification?expand_more
Not as a built-in feature today. DealerCRM securely captures and stores IDs, credit apps, W-2s, pay stubs, and similar documents, but full know-your-customer identity verification is a separate workflow and not included yet.
Are you sending our customer data to public model providers?expand_more
No. Your customer PII never trains a public LLM. We run private models trained on automotive / RV / powersports content. Your data stays inside your tenant — gated internally.
Do you co-mingle our customer data with other dealers?expand_more
No. Your customer records, conversations, credit files, and dealer-specific activity stay in your controlled tenant. DealerCRM does use broad market and listing intelligence to power comps, pricing, and inventory context, but one dealer's private customer data is not mixed into another dealer's customer record or report.
Is using ChatGPT directly with customer data risky?expand_more
Yes — when a rep pastes customer data into a public chatbot, they may be training a public model with that data, which is a compliance hazard. OliviaAI is a private model and your customer data stays inside your tenant.
How granular are permissions?expand_more
95+ distinct permissions, group-based with individual overrides. A typical salesperson sees My Day, Search, Add Customer, and Inventory; managers see everything; F&I sees confidential docs. Every part of OliviaAI — demeanor, tone settings, restricted topics, data surfaces — is permissioned.
Who handles FTC and FCC compliance on OliviaAI-sent messages?expand_more
Our COO is an attorney whose previous role at Dealer Specialties was the FCC compliance lead. OliviaAI honors opt-outs automatically, follows FCC time-of-day rules on calls, and stays within FTC bounds for the auto industry.
Can OliviaAI flag fraud or red-flag issues?expand_more
Yes. OliviaAI can analyze conversations for red-flag compliance and risk signals on both sides: a customer who appears to be playing the store, or internal language that suggests improper treatment, pricing, or process. Those alerts are management signals, not a replacement for your legal or compliance program.
Will the system honor recording-consent laws in our state or province?expand_more
Yes — the standard "this call may be recorded" whisper plays at call start; we adapt to state and provincial requirements.
Can the system go down like legacy CRMs have?expand_more
No single physical server cluster. Calculations run locally in the browser; media is served from a CDN with 1,000 points of presence. There's no bank of machines that can take you offline for two weeks.
store
Multi-Store & Multi-Rooftop
How does DealerCRM handle multi-store dealer groups?expand_more
Our largest customer is 108 stores. Customers can be shared across rooftops with one record but multiple points of contact, or kept siloed per store via permissions — your call. We support both modes in the same tool. Inventory, customers, deals, and reporting roll up across stores or filter to one, per view.
Can multiple salespeople share a customer across stores?expand_more
Yes. The points-of-contact section supports multiple reps at multiple stores on the same customer record. Permissions decide who sees the cross-store view vs. a single-store view.
Will we see when a customer is shopping multiple stores in our group?expand_more
Yes — notifications surface when a customer is in play at another store in the group. You can see what the other store offered on the unit and on the trade so you don't undercut yourselves or compete internally.
How is multi-store communication handled internally?expand_more
Built-in team chat replaces the phone-tag and email loops between GMs, parts managers, and service managers. Each store retains its own process and managers, but data, customer history, and inventory are visible across the group.
campaign
Marketing & Reputation
Does the system support broadcast email and SMS campaigns?expand_more
Yes — go to the Marketing tab and tell OliviaAI in plain English what you want to accomplish (audience, message, cadence). She builds and runs it. Cadenced sequences and re-engagement campaigns are supported, and she also acts instinctively on customer history without being asked.
Can we upload our own commercial video and send to the customer base?expand_more
Yes — drop video assets into the media library and OliviaAI can attach them to broadcast campaigns or one-off conversations. 100GB+ uploads supported, streamed at the recipient's optimal resolution.
Can OliviaAI generate custom images for outbound messages?expand_more
Yes — there's an OliviaAI image generator built in. "Put stock number X on a beach in California at golden hour" and she modifies the stock image accordingly. Useful for personalized outbound visuals.
Does the system manage Google and Facebook reviews?expand_more
Yes — OliviaAI surveys customers after purchase in plain conversation. Happy customers get routed to Google or Facebook for a public review; unhappy ones get triaged internally. She monitors review platforms and can auto-respond to positives, while queuing draft replies for negatives for your approval.
Do Facebook Messenger, Instagram, and WhatsApp messages land in DealerCRM?expand_more
Yes. Those channels can flow into the same unified inbox and customer history as phone, text, email, web chat, and video, so OliviaAI learns from the conversation instead of leaving social DMs in a separate tool.
Do we still need a separate reputation management tool?expand_more
No — replace it. Review surveying, routing, monitoring, and response are all native, included in the base rate.
Do we process credit card payments and deposits?expand_more
Yes — DealerCRM has deep integration with managed payment processing for deposits and RO payments via secure link. Send the link from the customer record. You can also legally pass processing fees to the customer where state law permits — meaningful on big-ticket RV and cart deposits. Other modern processors can integrate via API.
support_agent
Roadmap & Support
Is ongoing support included?expand_more
Yes — all tech support and training is included at no extra charge. The only add-on cost is travel expenses if you want trainers on-site. Support is available by chat anytime, by phone during business hours, and 24/7 if you're down.
Who's leading the support team?expand_more
Mike Schantz heads our customer success team — 20 years in retail automotive. You'll get a dedicated support rep, plus a Performance Manager (our RV/powersports performance lead has 17 years in the space) who actively benchmarks you against anonymized similar dealers and coaches you on improvement.
If I find something missing or want a new feature, what happens?expand_more
Tell us — we'll likely build it. We ship new features every other day. Anything you ask for that we add becomes part of the product. We don't commit ship dates on the spot, but good ideas just appear.
When does OfferMagic ship?expand_more
Before end of this month — virtual deal negotiation over text/email/link, customer counters from their phone, full ping-pong captured in the customer timeline. Payment-targeted roll suggestions surface automatically.
When does Dealer Site (your website product) launch?expand_more
End of this year — for dealers stuck on poor website vendors, we'll have a first-party option built natively into the CRM, with OliviaAI as the conversational interface.
What verticals does DealerCRM cover?expand_more
Auto, RV, marine, powersports, and golf carts are live. Tractors and heavy equipment are in flight. The platform adapts terminology ("vehicle" vs. "unit") and form fields based on dealership type.
What makes DealerCRM different from VinSolutions, DealerSocket, eLeads, DriveCentric?expand_more
Legacy CRMs rely on arbitrary rules and salespeople dutifully working a giant to-do list, which never happens. DealerCRM uses OliviaAI to evaluate every customer journey independently and only surface actions that actually matter — so the to-do list is short, relevant, and gets worked. Plus: branded outbound calling (no spam flagging), automatic capture (no manual logging), and OliviaAI as the consistent agent across phone, text, email, web chat, and video.
What real lift have other dealers seen?expand_more
One large multi-rooftop group (100+ stores) has reported up to a 20% lift attributed to DealerCRM in some deployments. We're happy to connect prospective customers with reference dealers who can speak to their numbers directly.
Can we A/B test a live demo with our team before signing?expand_more
Absolutely. We provide a live demo line and a chat link prospects can hammer with real questions before committing — feedback gets fed back into nightly review.
